How Safana Expense works

Send what you spent
Type it the way you would tell a friend, like "coffee 20k", or send a photo of the receipt.

The bot records it
It reads the amount and category, adds a row to your Google Sheet, and replies with an entry number.

Ask for a report
Send "report" for this month's totals, or search past entries by word, date or date range.
Expenses, income and savings
Record spending, income and savings. List several items in one message and each becomes its own entry.
Receipt photos
A photo becomes one entry. Add the caption detail for one entry per item.
Reports and search
Totals by day, week, month, year or any date range, and searches like find coffee 25-26 sep.
Shared by a household
Everyone on your household list can add and see entries. Members edit their own entries, and the admin can edit any.

Contact us by WhatsApp or email, and we will send you a short setup guide. Setup takes about ten minutes:
- Make your copy of the sheet.
- Share it with the bot.
- Add the people who will use it.

Common questions
Why didn't the bot reply?
Check that the number you messaged from is on the Allowlist tab in your sheet. If it is, your sheet may not be switched on yet, so tell us and we will check.
Which number goes in the Allowlist?
The number you will message the bot from, in any format: 0812…, +62 812…, with spaces or dashes. Numbers that are not listed are ignored.
How do I add a new member?
Add their number to the Allowlist tab. They can message the bot a few minutes later. If your plan is full, put them in one of the top rows.
Why was someone told the plan is full?
Your plan covers a set number of people, counted from the top of the Allowlist. Move that person up to include them, or ask us about a larger plan.
Can I undo a delete?
No. A deleted entry is gone, but you can send it again with the same wording.
Can I change the categories?
Yes. Edit the Categories tab in your sheet. The bot uses your changes right away.
Can I change the bot's name?
Yes. Edit the BotName row in the Config tab. The bot uses the new name from your next message.
What if I stop using it?
Remove the bot from your sheet's sharing list. The sheet and everything in it stays yours. We keep only your sheet link and your household's numbers, and delete them within 30 days, or sooner if you ask.
